Code of Conduct

Introduction 

Eventi Management (“the company”) has developed this Code of Conduct for employees, contractors, suppliers and all who represent the Company on any given task, project or service delivery pursuant to the requirements of the HEA Code of Governance [2007]. This Code of Conduct takes account of the implications of the Ethics in Public Office Act, 1995 and the Standards in Public Office Act 2001.

Intent and scope 

The purpose of the Code is to provide guidance to employees, contractors or suppliers (et al) of the Company in performing their duties as representatives of the Company.

Objectives of this Code 

The objectives of the Code are

  • to set out an agreed set of ethical principles;

  • to promote and maintain confidence and trust in the representatives of the Company;

  • to prevent the development or acceptance of unethical practices;

  • to promote the highest legal, management and ethical standards in all the activities of the Company;

  • to promote compliance with best current governance and management practices in all the activities of the Company.

  • to ensure the the safe and quality provision of services to all clients including those with whom include children and vulnerable persons.

Application of this Code 

All employees, contractors or suppliers (et al) are required to observe the following fundamental principles whether set out for employees, contractors or suppliers (et al) specifically or as expectations set by the Company for the conduct of its affairs.

General Principles

Integrity and Respect in the Workplace

  • All employees, contractors or suppliers (et al) should respect their colleagues, peers, clients or any persons present during the delivery of services. We won't allow any kind of discriminatory behavior, harassment or victimization. Employees, contractors or suppliers (et al) should conform with our equal opportunity policy in all aspects of their work, from recruitment and performance evaluation to interpersonal relations.

  • In the delivery of services to clients working with children and vulnerable persons, the Company is committed to the delivery of safe and respectful services to all involved.

  • The Company will not allow employees, contractors or suppliers (et al) to be involved in outside employment/business interests in conflict or in potential conflict with the business of the Company. It will put in place appropriate arrangements to give effect to this.

  • Where the Company finds itself in competition with other institutions, commercial and other providers of consultation, professional and advisory services it is expected that employees, contractors or suppliers (et al) will behave ethically and honestly.

  • The Company is committed to conducting its purchasing activities of goods/services in accordance with public policy and best business practice and its purchasing regulations reflect this.

  • The Company is also committed to ensuring that its engagement of consultancy and other services is in compliance with public policy guidelines.

  • The Company is committed to ensuring that the accounts/reports accurately reflect the operating performance of the Company and are not misleading or designed to be misleading.

  • The Company is committed not to acquire information or business secrets by improper means.

  • Employees, contractors or suppliers (et al) are not permitted to use Company resources or time for personal gain, for the benefit of persons/organisations unconnected with the Company or its activities or for the benefit of competitors.

  • Employees, contractors or suppliers (et al) are not permitted to receive gifts, hospitality, preferential treatment or benefits which might affect or appear to affect the ability of the donor or the recipient to make independent judgement on business transactions.

Information

The Company is committed to providing access to general information relating to its activities in a way that is open and enhances its accountability to the general public.

The Company will observe appropriate prior consultation procedures with third parties where, exceptionally, it is proposed to release sensitive information in the public interest.

The Company will comply with all relevant statutory provisions (e.g. Data Protection legislation, the Freedom of Information Acts, 1997 and 2003).

Employees, contractors or suppliers (et al) are required to respect the confidentiality of sensitive information held by the Company. This would constitute material such as:

    • personal information;

    • information received in confidence by the Company;

    • any commercially sensitive information;

Obligations 

  • The Company will comply with detailed tendering and purchasing procedures, as well as complying with prescribed levels of authority for sanctioning any relevant expenditure.

  • The Company requires compliance with measures it has introduced to prevent fraud and to ensure compliance with the prescribed levels of authority for sanctioning any relevant expenditure. Loyalty

  • Employees, contractors or suppliers (et al) are required to be loyal and committed to the Company, with due respect to the tenets of service delivery, while mindful that the Company itself must at all times take into account the interests of its clients and providers of funds, including stakeholders and national and local authorities.

  • Employees, contractors or suppliers (et al) of the Company acknowledge the duty of all to conform to highest standards of professional service ethics.

Fairness 

  • The Company is committed to complying with employment equality and equal status legislation.

  • The Company is committed to fairness in all dealings.

Work/External Environment

  • The Company will ensure that community concerns are fully considered in its activities and operations;

  • The Company will minimise any detrimental impact of its operations on the environment.

  • The Company places the highest priority on promoting and preserving the health and safety of its employees, contractors or suppliers (et al).

Policy/Procedures

Employees, contractors or suppliers (et al) are required to familiarise themselves with the policies and procedures of the Company and to comply with such policies and procedures as may be instituted by the Company from time to time. 

Responsibility 

  • The Company will make this Code of Conduct available (and a policy document on disclosure of interests) to all employees, contractors or suppliers (et al) for their retention through a public link contained on the Company’s website.

  • The Company will ensure that all employees, contractors or suppliers (et al) receive a copy of the Code if so requested.

  • The Company will provide practical guidance and direction as required, through the Managing Director, on such areas as gifts and entertainment and on other ethical considerations which arise routinely.

Allegations Concerning Staff Member/Constractor/Supplier/ et al

In the event of an allegation of misconduct or abuse by a staff member (et al), the first priority is to ensure that no adult, child or vulnerable person is exposed to the potential of further risk and so to this end an alternate person will be appointed with immediate effect to fulfil the accused staff member's role.

The staff member will be informed as soon as possible of the nature of the allegation and given a formal opportunity to respond.

Behaviour at work events or related social events could result in incidents that may affect their colleagues, the organisation, clients, and the general public. Inappropriate behaviour at such events will be considered as misconduct and will result in the appropriate action being taken in line with the Company’s Disciplinary Procedure.

Inappropriate Behaviour

The Company will not tolerate any inappropriate behaviour by employees, contractors, suppliers (et al) in any workplace environment or work-related external location. Disciplinary action (as below) will be taken in the event of any inappropriate behaviour discovered and reported to the supervisor or line manager, as appropriate. The company aims to ensure that all employees, contractors, suppliers (et al) feel safe and supported in all of their activities and will work to ensure that swift action is taken when and where required.

Such inappropriate behaviour includes, but is not limited to, the following:

  • Aggressive behaviour, whether verbal or physical

  • Verbal abuse of any colleague, client, attendee, or peer

  • Apathy or insolence towards assigned tasks or colleagues

  • Working under the influence of drugs or alcohol

  • Sexual innuendos and/or harassment of any nature, whether verbal or physical

Disciplinary actions

Our Company may have to take disciplinary action against employees, contractors or suppliers (et al) who repeatedly or intentionally fail to follow our code of conduct. Disciplinary actions will vary depending on the violation and terms of contract.

Possible consequences include:

●      Demotion

●      Reprimand

●      Suspension or termination without pay for more serious offenses

●      Detraction of benefits for a definite or indefinite time

●      Dissolution of contract without pay in the event of repetitional damage to the Company due to the actions or inactions of the contractor or supplier

We may take legal action in cases of corruption, theft, embezzlement or other unlawful behavior.

Review 

Eventi Management will review this Code of Conduct as and when appropriate.
